Scheduling Policy & Best Practices:

It is our policy that all potential patients connect with us by telephone to schedule an appointment. While you may initiate contact via email, we will arrange a time to speak in real-time. This process typically takes 5 to 10 minutes.

Why This Is Required This conversation is the only immediate way for us to process the vast amount of contextual information regarding your specific situation. Even if a clinician has availability, we must speak with you to:

  • Determine the specific forms and paperwork you need.
  • Clarify how we must bill for your specific case.
  • Ensure you fully understand your patient rights and treatment needs.
  • Properly triage to ensure we are the medically responsible fit for your care.

The Limitations of Email

It is not possible to cover every precondition, misconception, or unique contingency regarding your care in a time-tenable manner through email. We cannot write the volume of information required to address every situation, nor do we conduct therapy or intake assessments through delayed written exchange. Continuing a scheduling conversation solely through email does not help you get the access to care you are asking for.

Legal & Ethical Necessity

Our process is based on the realities of state and federal law, professional liability requirements, and our Board’s ethics. These standards determine our scope and level of care. We view these steps as essential to avoid setting anyone up for failure. If your preference is to complete the scheduling process entirely through email, our policy will not align with your needs, and we recommend seeking a provider who offers that modality.

In situations where a disability prevents standard phone communication, we utilize real-time text-to-speech engines to accommodate care for every person. This ensures we can meet your accessibility needs while maintaining the real-time interaction required for a safe and ethical intake.

You have the right to receive a “Good Faith Estimateexplaining how much your medical care will cost 

Under the law, health care providers need to give patients who don’t have insurance or who are not using insurance an estimate of the bill for medical items and services

  • You have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency items or services. This includes related costs like medical tests, prescription drugs, equipment, and hospital fees. 
  • Make sure your health care provider gives you a Good Faith Estimate in writing at least 1 business day before your medical service or item. You can also ask your health care provider, and any other provider you choose, for a Good Faith Estimate before you schedule an item or service
  • If you receive a bill that is at least $400 more than your Good Faith Estimate, you can dispute the bill. 

Make sure to save a copy or picture of your Good Faith Estimate.
